Our client is an integrated logistics operator providing courier services. They have established a one-stop solution to offer storage, courier services, and promotional channels for their small business members. They have created a shared workspace to support micro-enterprise members in starting their businesses, with facilities such as various types of rooms, live streaming rooms, public open spaces, etc., to promote “live streaming with goods,” boost logistics business, and strengthen their market positioning in the industry as a “technology logistics” provider. However, our client needs a mobile app for booking facilities and payment processes, as well as a cloud-based access control system for monitoring reservations and entry/exit statuses.

Co-working spaces have become increasingly popular in recent years, providing flexible working environments for small and medium-sized enterprises (SMEs), allowing businesses to use them based on their needs.

One challenge our client faces is the lack of a receptionist in the co-working spaces, which prevents members from having face-to-face interactions to book facilities, make payments, and verify information on-site. Moreover, members can only access the workspace during their reserved time and after paying, which greatly limits their usage time. To maintain orderliness and resource balance, the number of users is also restricted. However, such restrictions may not be the most appropriate adjustments according to the actual usage of members.

IoT Solution with Smart booking and Smart Lockers

Our client is looking for an IoT-related solution to improve the user experience of members in the shared workspace. Specifically, they want a mobile app for online reservations, QR code-based entrance, and a smart locker system without locks and keys. This cloud-based system will allow members to unlock doors during their reserved time, open shared workspace doors, reserved room doors, and smart lockers, easily store and retrieve items without frequent communication and confirmation with staff. This will make it more convenient for members to use the shared workspace facilities, improving efficiency and convenience.

Smart Lighting Control with IoT Technology

At the same time, our client is facing the problem of long periods of unused lighting facilities, leading to energy waste and additional costs. In traditional office environments, lighting is usually controlled and adjusted by receptionists or employees. However, in shared workspaces, due to the lack of direct staff management, lighting often remains operational even when no one is using the area. In this situation, electricity is wasted, causing not only a negative impact on the environment but also increasing the operating costs of the shared workspace.

What this client needs is IoT technology – how to apply IoT to connect different hardware and a mobile app, along with smart booking, smart lockers, and a cloud-based access control system, to achieve unmanned self-service access.
